The best business email for a small business is the one that puts everyone on your own domain at a price that doesn't grow with every hire. LotsMail charges one price per domain ($5 a month) with unlimited mailboxes. Zoho Mail is the cheapest per person. Google Workspace and Microsoft 365 add office apps, and Fastmail and Proton add calendar and privacy.
A free @gmail.com address costs nothing, but it looks small on a quote or an invoice, and it can't give you hello@, orders@ or a mailbox for each person on your own name. Moving to business email is the cheap part of looking established. The harder part is picking a provider whose bill still makes sense when you add a second shop assistant or a support@ address.
I opened every provider's own pages on 23 October 2026 (LotsMail rechecked on 26 October 2026) and compared them on what a small business actually pays for and uses: the price model, a team of five, mail apps and calendar, and whether you can get help from ChatGPT or Claude in the inbox. Prices are US dollars before tax, list prices only. Sources are at the end.

What a team of 5 pays each month
Five people on your own domain, on each provider's entry plan that includes it, yearly billing where offered (competitors checked 23 October 2026, LotsMail 26 October 2026):
| Provider and plan | How it adds up | Per month |
|---|---|---|
| Zoho Mail Forever Free | Up to 5 users, 1 domain, 5 GB each, no IMAP, POP or ActiveSync | $0 |
| LotsMail Starter | 1 domain × $5, unlimited mailboxes | $5 |
| Zoho Mail Lite (5 GB) | 5 users × $1, billed yearly | $5 |
| Fastmail Standard | 5 users × $5 | $25 |
| Proton Mail Essentials | 5 users × $6.99 | $34.95 |
| Google Workspace Business Starter | 5 users × $7 | $35 |
| Microsoft 365 Business Basic | 5 users × $7.00 | $35 |
For five people, Zoho Mail Lite costs the same as LotsMail, and Zoho's free plan costs nothing if you can live without mail apps. Below five people Zoho is cheaper. The picture changes as you grow or add role addresses: at ten people Zoho Mail Lite is $10 and Google or Microsoft $70, while LotsMail stays $5, because a support@ mailbox or a new hire adds nothing.
1. LotsMail: one price per domain for the whole team
LotsMail is business email on your own domain, priced per domain, not per person. I built it so a small business can give everyone, and every role address, a proper mailbox without counting seats.
What it does well:
- One price per domain. Starter is $5 a month or $50 a year for 1 domain, Pro is $20 or $200 for 5 domains and Business is $60 or $600 for 20 domains, with white-label on every domain. On every plan each domain gets unlimited mailboxes and people, 10 GB of shared storage and 1,000 outbound deliveries a month; add-ons for more are on the pricing page. Or pay as you go at $6 per domain a month from LotsTech Credits, with the same 10 GB and 1,000 deliveries as every domain. Extra domains cost your plan's rate. See pricing.
- Unlimited mailboxes, addresses and teammates. A mailbox for each person, plus hello@, orders@ and support@, for the same price.
- Shared inboxes with access per mailbox. Give orders@ to the people who handle orders, as read, read and send, or full control. Nobody shares a password, and private mailboxes stay private.
- Keep your domain, DNS and website where they are. Add the records LotsMail shows you, then point mail to it when you're ready. SPF, DKIM and DMARC are checked for you, and every send shows whether it was delivered.
- A full inbox on your phone, tablet and computer in the browser: threads, search, drafts, sent, archive and attachments.
- If a payment lapses, sending stops at once, incoming mail keeps arriving for 14 days and then pauses, and your mail is never deleted.
Help from ChatGPT or Claude. LotsMail works with the AI agent you already use, and there's no built-in AI or model cost. Connect ChatGPT, Claude or any MCP client through the connect page and ask, "What came in today that needs a reply? Draft answers to the quote requests." You choose per mailbox whether it may read, draft or send, and sending is off until you turn it on, so nothing sends without you.
What to know: mail apps such as Outlook and Apple Mail (over IMAP and SMTP) are coming soon; today it's the browser inbox. Your current provider keeps your existing mail, and you can copy it into LotsMail with Import mail: Gmail, Google Workspace, Zoho, Yahoo or any host with IMAP, using an app password. LotsMail has no calendar, and calendar and contacts aren't imported. There's no group email or distribution lists (use a shared mailbox for team@), and no newsletters or marketing email.
If you're also building your website, LotsBusiness includes LotsMail for its own domain with each paid business. Agencies setting up email for client businesses can run every client from one account; I explain how in business email for agencies.

2. Zoho Mail: the lowest price per person, and a free plan
What it does well: price and completeness. Mail Lite is $1 a user a month with 5 GB, and Mail Premium $4 with 50 GB plus 50 GB of retention storage, both billed yearly with no monthly plan. Workplace Standard ($3 a user a month yearly, $4 monthly) adds Zoho's office apps. The Forever Free plan hosts one domain for up to 5 users with 5 GB each, though without IMAP, POP or ActiveSync. Paid plans come with mobile and desktop apps, calendar, migration help and the Zia assistant, and Zoho MCP connects Zoho Mail to AI agents. The top plan has a 15-day trial with no card.
Choose it if you're one to five people and want the lowest bill with mail apps and calendar today.
3. Google Workspace: Gmail with Docs, Drive and Meet
What it does well: everything in one place. Business Starter is $7 a user a month with a one-year commitment, Business Standard $14 and Business Plus $22. You get Gmail on your own domain, Calendar, Meet, Drive and Docs, 30 GB of pooled storage per user on Starter, and up to 30 aliases per user at no extra cost. There's a free trial.
Choose it if your team shares documents and meets online every day and wants those apps alongside email. If email is the only part you need, I listed the options in Google Workspace alternatives for business email.
4. Microsoft 365: Outlook and Office
What it does well: Outlook and the Office apps owners already know. Business Basic is $7.00 a user a month paid yearly or $8.40 monthly, with a 100 GB mailbox and 50 GB archive per user, Outlook on the web and mobile, Teams and 1 TB of OneDrive storage per user. If you only want Microsoft's email, Exchange Online (Plan 1) is $4.00 a user a month paid yearly. Shared mailboxes need no licence up to 50 GB. There's a one-month free trial, card required.
Choose it if you work in Outlook, Word and Excel every day, or your customers send you Office files. I compared the two head to head in LotsMail vs Microsoft 365.
5. Fastmail: independent email with calendar
What it does well: a fast, independent inbox with calendar and contacts. Standard is $5 a user a month yearly or $6 monthly, with 60 GB per user, addresses on your own domain and support for apps like Outlook and iPhone Mail. Fastmail also runs its own MCP server with read-only, write or send access for AI tools. You can try it free for up to 30 days.
Choose it if you want an established independent provider with mail apps and calendar, and paying per person suits your size.
6. Proton Mail for Business: privacy first
What it does well: encrypted email from a privacy-focused company. Mail Essentials is $6.99 a user a month billed yearly, with 15 GB per user, up to 3 custom domains and 10 addresses per user. It works with Outlook, Thunderbird and Apple Mail, includes calendar and migration from other providers, and has a 14-day free trial and a 30-day money-back guarantee.
Choose it if keeping email private is your first requirement.
7. Hostinger Mail: email next to your hosting and domain
What it does well: convenience if your website and domain are already at Hostinger. You pay per mailbox: Starter has 5 GB and 5 aliases, Standard 20 GB and 10 aliases, Premium 50 GB and 30 aliases, with AI writing tools on Standard and Premium. Hostinger also offers a ChatGPT app and an official Claude connector that can read, send and manage your mail. Its page lists prices for multi-year terms only, so I haven't quoted one here; check the term before you buy.
Choose it if your site and domain are already at Hostinger and you want everything in one account.

FAQ
What is the best business email for a small business?
It depends on your team and how you work. For several people or role addresses on one domain, LotsMail's one price per domain ($5 a month on Starter) stays flat as you grow. For one to five people, Zoho Mail Lite at $1 a user a month billed yearly is the lowest per-person price. If you need office apps, choose Google Workspace or Microsoft 365.
How much does business email cost for a small business?
For five people on 23 October 2026: $5 a month on LotsMail Starter or Zoho Mail Lite (billed yearly), $25 on Fastmail Standard, $34.95 on Proton Mail Essentials, and $35 on Google Workspace Business Starter or Microsoft 365 Business Basic, all with yearly billing. Zoho's free plan covers up to five users without mail apps.
Can I get business email without paying for each employee?
Yes. LotsMail charges per domain, with unlimited mailboxes, addresses and teammates on every plan, so hiring someone or adding support@ doesn't change the bill. Flat hosts such as Migadu and Purelymail also price per account rather than per person.
Can I use my own domain without moving my website?
Yes. Your domain, website and email can sit with different providers. With LotsMail you keep your DNS provider and website, add the records it shows you, and point mail to LotsMail when you're ready.
Is a free Gmail address fine for a small business?
It works, but it can't give you addresses on your own domain like hello@ or orders@, or a mailbox for each person under your business name. Google's own free Gmail doesn't include a custom domain; that comes with Google Workspace.
Can ChatGPT or Claude help with my business email?
Yes, with providers that support it. LotsMail connects ChatGPT, Claude or any MCP client, and you choose read, draft or send access for each mailbox, with sending off until you turn it on. Fastmail and Zoho Mail also connect through MCP, and Hostinger offers a ChatGPT app and a Claude connector.
